Painter & Decorator Quote Template

A decorating quote lives or dies on preparation. Customers compare bottom-line figures, but the difference between a cheap quote and a professional one is usually the prep work nobody sees: filling cracks, sanding back, caulking gaps along skirting and architrave, and washing down with sugar soap before a tin is opened. This template puts preparation on its own line, priced and named, so the customer can see what they are paying for and you are not working that time for free.

The quote should state the number of coats for each surface, including a mist coat on new plaster before the finishing coats go on, and it should say who supplies the paint. Trade paint and retail paint are not the same product, so if the customer wants to supply their own, note that on the quote along with any effect on coverage and finish. Break the work down room by room, or per square metre on larger jobs, and separate the woodwork: gloss or satin on skirting boards, doors and window frames prices differently from walls and ceilings. Wallpapering needs its own lines too, covering stripping, lining paper where the walls need it, and any feature wall in a patterned paper.

For exterior work, spell out the masonry paint system and how access is handled, whether that is a tower, scaffold or ladders, because access equipment is a real cost the customer should see. Protection of floors, carpets and furniture, plus making good any surface before painting, belongs on the quote as well. What should a painting and decorating quote include?

Your business and customer details, a quote number and date, a validity period, a room by room or per square metre breakdown naming the surfaces covered, preparation listed as its own line, a paint schedule stating product, finish and number of coats, who supplies the paint, protection of floors and furniture, VAT if registered, and your terms.

Should I price decorating per room or per square metre?

Either works, but be consistent. Per room pricing is easier for domestic customers to understand, while per square metre suits larger or commercial jobs. Whichever you choose, state what is included in that price: preparation, number of coats and the woodwork, so one room cannot be compared unfairly against another decorator's figure.

Who should supply the paint on a decorating quote?

State it on the quote either way. If you supply trade paint, list the product and allow for it in your materials. If the customer supplies their own, note that you take no responsibility for coverage or finish quality, and that extra coats caused by poor retail paint may be chargeable.
